challenge
The team was managing property listings, social media posting, lead tracking, and website maintenance across a patchwork of separate tools, most of them bloated with features that had nothing to do with the actual workflow. Nothing was centralized, so the same information often had to be re-entered or cross-checked across systems, and every extra tool was one more thing to learn and maintain.
process
The build focused on collapsing that patchwork into a single system built specifically around how the team actually worked, rather than adapting to whatever a general-purpose tool assumed they needed. Design and development happened in tandem: Figma for the interface, direct build-out in HTML, CSS, JavaScript, SQL, and PHP for the underlying system.
Since the people using it weren't necessarily technical, every workflow was reduced to as few steps as possible, labeled in plain, intuitive language rather than internal jargon, and paired with confirmation pop-ups before any action that changed or removed data. That combination, fewer steps, clear labels, and a confirmation step before anything permanent, was the core decision that shaped the entire interface.
solution
A centralized platform covering property listing management, social media posting, lead tracking, and website maintenance in one system, built around the team's actual workflow instead of forcing them to adapt to someone else's.
outcome
The system is in active use and has been fully handed off to the company running it day to day.
